After receiving the form and your deposit we will add your name(s) to the specific tour. Pricing Information The published price is per person. On the website you’ll find per tour what is included in as well what is excluded from the price. All prices are quoted in Canadian dollars, except where noted differently. Prices include applicable local, provincial and federal taxes as well as mandatory hotel service charges. No rebates of the federal Goods and Service Tax (GST) are possible. There will be no refund for any portion of a pre-packaged programme that is not used by clients. As long as clients have not paid the full amount, Tracks Outdoor has the right to change the tour price up till 20 days before start of the tour (due to a change in transfer costs, fuel prices and applicable taxes). Custom-made itineraries The price for custom-made itineraries will depend on how much work is involved in putting it together. We will be happy to talk with you about this. For custom-made itineraries we can not refund you in case you need to cancel. Payment Procedures To confirm your booking we require a 15 % deposit in Canadian Dollars. Full payment must be received 40 days prior to tour departure date. We require full payment for reservations within 40 days of departure date. However cancellation will take place at the latest 31 days before tour departure date, with restitution of your deposits and payments made minus CAD 28.50 administrative fees. Packages in Wells Gray area: Until 31 days prior to tour: 15% charge 16 - 30 days: 50 % charge 15 days or less: 100 % charge Guided (half day and full day) hike and snowshoe tours in Wells Gray area: Until 31 days prior to tour: 15% charge 2 - 30 days: 30 % charge Less than 48 hours 100 % charge Insurances Please make sure to buy travel- and cancellation insurances within a week from your booking. Check if your insurance company refunds any booked transfers/flights to the start location of the tour, in case Tracks Outdoor cancels the tour. Please also check if the tour specific activities are covered by your insurance policy. Travel documents Make sure you have a valid passport (residents out of Canada) or resident card (Canadians). Please check if you need a Visa by using this link. Safety Safety first on our tours. Your driver/guide is a certified First Aid and CPR helper. In times of emergency he/she will be able to call for help by using a satellite phone. In case you use any medication and/or you have a recent medical history, please inform your guide upon arrival. Unfortunately we can not control any weather- or natural phenomenons. Due to unforeseen circumstances your guide can decide at any time to deviate from the itinerary, especially when following the itinerary would endanger participants’ safety. Possible extra costs due to this safety procedure will be paid by the participants. Forms Before departure, we will send you a waiver as well as a calamity form. Please fill both out completely and hand those over to your driver/guide upon arrival. Waivers are common in Canada. Without waivers it’s impossible for outdoor businesses to sign up for insurance. In case of an emergency, the calamity form will make it possible to get in touch with your family and insurance company. When medical help is needed it will provide (para)medics adequate information regarding your medical history. Luggage Per person allowed: 1 bag, max 18 kg, 20x30x20 ” (no suitcase) and 1 piece of carry-on luggage. Smoking In Western Canada, smoking is not allowed indoors (restaurants and pubs included). Furthermore smoking is not allowed on most outdoor patios (this can vary per community). Tipping Gratuities/tips have not been included in the rates for any guided package. It is customary to tip approximately 15-20 % in restaurants, lounges etc, if satisfactory service has been provided. Gratuity is usually split up between all the employees within the specific establishment. The tip is calculated from the net amount of the bill. Furthermore it is customary for clients to offer a tip for the tour guide/driver on sightseeing tours, as well as the guide for a guided adventure programme (usually $3 - $5 per person per day/ $2- $3 per half day). However, tips are not obligatory and should reflect the client’s degree of satisfaction related to service provided. Meals Most meals are not included during the tour.
